Practice Policies & Information
My practice policies are designed to keep expectations clear while respecting the time, energy, and commitment that both you and I bring to our work together.

The time you book is reserved specifically for you. Because your appointment time is held exclusively for you, I require 48 hours' notice for cancellations or rescheduling.
When an appointment is cancelled or rescheduled with less than 48 hours' notice, or when an appointment is missed, the full fee for the reserved appointment will normally apply.
This policy applies to all appointments, including regular sessions, extended appointments, specialized hypnotherapy, and EMDR intensives.

When an appointment is cancelled with less than 48 hours' notice, it is often not possible to offer that time to another client who may be waiting for an appointment. The cancellation fee reflects the clinical time that has been reserved specifically for you.
I understand that unexpected things happen, and my intention is to maintain this boundary while still allowing room for reasonable flexibility.

Each client is offered one courtesy for a short-notice cancellation or missed appointment without a fee.
This is intended to provide some flexibility for an occasional unexpected circumstance. You do not need to provide a reason or justification when using your courtesy.
Once this courtesy has been used, subsequent cancellations with less than 48 hours' notice and missed appointments will be subject to the applicable cancellation fee.

I understand that genuine emergencies sometimes happen with little or no warning.
In circumstances such as a serious illness, medical emergency, unexpected family emergency, death, or another significant unforeseen event, a cancellation fee may be waived at my discretion.
If an emergency arises, please contact me as soon as you are reasonably able. I will consider the circumstances individually and do my best to respond with compassion and flexibility.

Extended sessions and EMDR intensives reserve larger blocks of clinical time and may require additional preparation and planning.
For this reason, the same 48-hour cancellation policy applies to extended and intensive appointments. If one of these appointments is cancelled with less than 48 hours' notice or missed after your one-time courtesy has been used, the full fee for the reserved appointment will apply.
The cancellation fee reflects the appointment time that was specifically reserved for you; it is not an additional penalty for booking a longer session.

Your appointment time begins at the scheduled start time. If you arrive late, your session will generally still end at the originally scheduled time so that I can remain available for the next client.
For extended sessions and EMDR intensives, arriving late may also mean there is less time available for therapeutic work within the reserved appointment.
If you know you are going to be late, please let me know as soon as possible. If I do not hear from you, I will exit the video platform after waiting for 15 minutes.

Appointment reminders are provided as a courtesy and you can edit these settings on your Jane Profile, but clients are ultimately responsible for keeping track of their scheduled appointments.
You can check your upcoming appointments through the online booking system at any time. Forgetting an appointment or not receiving a reminder does not change the cancellation policy.

When appointments are provided by video or telephone, occasional technological difficulties can occur. Clients are responsible for ensuring that they have access to the technology and a private, secure environment necessary for their appointment.
If a technical problem occurs during a video session, we may use an alternative method of communication, such as telephone, where appropriate, so that the appointment can continue.
If a temporary technology issue prevents the session from proceeding and cannot reasonably be resolved, we will determine together whether the appointment can be completed another way or whether it should be rescheduled.
Note: Stable clear internet is especially important for EMDR intensives and Hypnotherapy sessions.

Payment is due at the time of your appointment unless another arrangement has been made in advance.
Cancellation and missed-appointment fees are the responsibility of the client. Please check with your extended health or insurance provider regarding whether they reimburse fees for missed or cancelled appointments, as these fees may not be eligible for coverage.

Your privacy and confidentiality are important parts of our therapeutic relationship. Information shared in counselling is kept confidential within the limits of applicable laws and professional standards. There are certain circumstances where confidentiality may need to be broken, which will be discussed with you as part of the informed consent process.

Email and other electronic communication are intended primarily for scheduling and administrative matters. They are not monitored continuously and should not be used for urgent or crisis support. Please bring therapeutic questions or concerns to your scheduled appointment whenever possible.
I try my best to respond to all communication within 48 hours, except during holidays or practice closures, which will be noted on my website.

Counselling, EMDR, and hypnotherapy are individualized therapeutic services, and outcomes vary from person to person. Treatment recommendations, session length, and therapeutic approaches may change as we assess your needs and progress.

Receipts can be provided for eligible services. Coverage varies between plans, and it is the client's responsibility to confirm whether services are covered by their individual provider and under which practitioner designation. The only time I direct bill is the CVAP program. In all other instances you will take your receipts to your provider for reimbursement.
